Summary of Job Duties:

The Manager of External Event Operations reports directly to the Associate Athletic Director of Event Management. This position plays a critical role in maximizing the use of university athletic facilities by identifying, recruiting, booking, and coordinating external events that generate revenue for the Department of Athletics. This position is responsible for developing and maintaining relationships with event clients, ensuring operational excellence throughout the planning and execution process, and collaborating with internal and external partners to enhance the department's event portfolio.

The Manager of External Event Operations will serve as the primary point of contact for external event inquiries and manage booking logistics including contracts, scheduling, and facility use agreements. Proactively identify and pursue opportunities for external events such as concerts, shows, corporate functions, University Commencements, High School Graduations, large and small scale meeting/conferences and other special events. This position will develop and maintain event rental policies/procedures as well as event rental fee structure to ensure competitive yet profitable facility usage. Coordinate all logistical aspects of confirmed events, including scheduling, staffing, security, parking, facility setup, and technical support. Serve as on-site event manager for external events, ensuring a high standard of customer service and operational execution. Work closely with internal teams including operations, custodial, ticketing, and IT to ensure seamless event support. The position will manage the department’s master calendar via Teamworks.

The Manager of External Event Operations will also assist with special projects within Event Management and Facility Operations including assisting with planning, supervising, and staging major athletic events, if necessary, and ancillary special events held within Arkansas Athletics Facilities as requested by supervisor and/or the Deputy Athletic Director.

Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.


Qualifications:

Minimum Qualifications:

  • Bachelor’s degree from an institution of higher learning

  • At least three years of experience in event management, facility operations, or hospitality/event sales, venue booking/scheduling preferably in a collegiate or professional sports setting

  • Must be available to work nights and weekends as needed for ticket initiatives and/or support booked events as the on-site manager and primary point of contact

Preferred Qualifications:

  • Bachelor’s degree in Sports Management, Business, Hospitality, or related field

  • At least 5 years of experience within a college or professional public assembly facility setting

  • Experience in managing concerts and large shows/events

  • Experience using Teamworks

  • Experience with A/V, Scoreboards, Sounds Systems, ticket scanners, magnetometers, wireless technology, concert staging and equipment

Knowledge, Skills & Abilities:

  • Knowledge of facility rental agreements, insurance requirements, waivers, and risk mitigation strategies relevant to external event use

  • Knowledge of the facility rental process from contracts through settlement and invoicing.

  • Knowledge of university policies, NCAA regulations, and Title IX implications related to third-party events on campus

  • Strong customer service skills

  • Excellent organizational, communication, and problem-solving skills

  • Ability to interpret, develop and maintain operational, budgets

  • Ability to analyze financial records and prepare reports

  • Ability to work nights, weekends, and holidays as needed for events
