Executive Assistant
Kimbel Mechanical Systems is seeking an Executive Assistant who is organized, discreet, self-motivated, adaptable, emotionally intelligent, growth-minded. The person who fills this position must remain flexible, but key job requirements include the following:
- Conserve time, anticipate needs, and decipher priorities by reading, researching, collecting, and analyzing information as needed, in advance;
- Assist with preparation and execution of support staff meetings, teleconferences, team off-sites and other events;
- Create Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization;
- Organize complex calendars and schedules, resolving any scheduling issues;
- Maintain and improve internal processes that support the full executive team, harmonizing internal and external resources to expedite workflow;
- Manage sensitive matters and information with a high level of confidentiality and discretion;
- Coordinate travel arrangements (flights, hotel, and car service, etc.) according to company travel policies;
- Screen incoming telephone calls, take and deliver accurate messages, and respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff; and
- Advanced proficiency in Microsoft Office and Google Workspace.

- Excellent verbal and written communication skills with the ability to interact with people of all levels in a confident and professional manner;
- Excellent time management skills and a proven ability to meet deadlines;
- Ability to function well in a high-paced environment, performing additional duties as assigned and proactively seeking additional opportunities;
- Service oriented - dedicated to meeting the expectations of the Chief Operations Officer and other senior executives by maintaining effective relationships with interested parties; and
- Extremely detail oriented while maintaining adaptability in day-to-day duties and schedules.
