About The Position
Alice L. Walton School of Medicine is seeking a skilled, highly motivated, and organized individual to join the team as an Executive Assistant supporting the Executive Vice Dean and other senior leadership. The ideal candidate will have demonstrated the ability to be creative in their approach to solving problems, can work independently, and be a high functioning member of the team. The primary duty of the Executive Assistant will be to provide high level of administrative, and project support to senior leadership. They will work closely with key stakeholders, including but not limited to accreditation agencies, the Heartland Whole Health Institute, and local health systems, to cultivate relationships and implement collaborative practices. The Executive Assistant reports directly to the Executive Vice Dean.

Major Responsibilities/Essential Functions Specific to The Position:
- Provide operational support to Executive Vice Dean (EVD), and other senior leadership including schedule / management of calendars, arranging travel, coordinating communication correspondence.
- Function as liaison between the Dean’s office and faculty/staff.
- Assess and prioritize the urgency and importance of situations and take appropriate action.
- Participate and take notes in internal meetings and/or phone calls, tracking follow up items.
- Provide administrative assistance, such as writing and editing emails, and preparing communications and presentations on the division’s behalf.
- Ensure requests for action and information are furnished in a timely manner.
- Track, organize, and distribute time sensitive materials.
- Anticipate the executive leadership team operational needs and respond adeptly to rapidly changing priorities.
- Track, monitor and follow-up on projects and action items that stem from the EVD; work closely with members of the leadership to receive regular updates on outstanding items.
- Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination in support of finance and administration.
- Prepare and process business expense reports.
- Work closely with other faculty and staff of the School of Medicine to ensure consistency and efficiency with respect to the activities and all processes and procedures of the school.
- Organize and coordinate new ideas, programming, and departmental events.
- Provide support to the dean’s office as assigned or requested.
- Work cross functionally with other support staff within the School and ecosystem (Crystal Bridges, Art Bridges, Art & Wellness Enterprises, and Heartland Whole Health Institute).
- Proactive approach to problem-solving with strong decision-making capability, especially with deadline pressures
- Executive and special projects assigned by EVD managed and executed as assigned with precision, proficiency as well as a high level of customer service.
- Develop and maintain a professional relationship with staff, faculty, guests, volunteers, board members, and all stakeholders of the School.
- Other duties assigned by EVD.
Qualifications Required for your Success:
- Bachelor’s degree or minimum of five years’ relevant administrative experience; non-profit experience preferred.
- Exceptional organizational skills and attention to detail
- Team-player mentality, with an enthusiastic willingness to jump in wherever needed.
- Experience in communicating in a professional manner (both written and verbal)
- Act as a trusted advisor and team member, demonstrating expertise and integrity.
- Project management skills that reflect the ability to perform and prioritize multiple tasks simultaneously and seamlessly, and follow-through consistently.
- Proficient in Microsoft Office Suite and virtual meeting platforms. Ability to learn new software applications.
- Excellent oral and written communications skills that include business letter writing and clear concise administrative and technical reports; demonstrated English skills in accuracy, proofreading, grammar, spelling, and attention to detail required.
- Experience with presenting and supporting presentations (projectors, etc.) and slide presentation equipment.
- Experience with travel preparation preferred.
- Ability to function in a fast-paced environment.
- Ability to travel, as needed (approximately 10%)

About Us!
Founded in 2021 by philanthropist Alice Walton, the School of Medicine will offer a medical degree-granting program that builds on conventional medicine with an inclusive, compassionate, and whole health approach. The School of Medicine embraces self-care to empower students to care for their patients and themselves and helps them rise to the health challenges of the 21st century with a focus on mental, physical, social, and emotional health. The School will have an attached clinic for training in these concepts.
Currently, the School of Medicine seeks to be a national medical school with the goal of welcoming its inaugural class in 2025, pending programmatic and institutional accreditation.
Construction of the 154,000 square-foot building has begun with the goal of completing and welcoming the first class in Fall 2025, pending accreditation. AWSOM will be located east of Crystal Bridges Museum of American Art in Bentonville, Arkansas.
